A practical guide to running your member roster, schedule, and progress tracking.
How do I add a member?
Open Members, select New member, and enter their basic details. A friendly illustrated avatar appears automatically until you upload a photo.
How do I schedule a training session?
Open Exercise sessions, create a session, choose its date, time, and colour, then select the attending members. It will appear on the dashboard calendar.
How do I track who actually turned up?
Open a session and use the buttons beside each client. Check in marks them as attended, No-show records that they did not arrive, and Cancel frees their spot. Every one of these can be undone, and nothing is deleted, so the history stays honest.
What happens when a session is full?
Give a session a capacity when you create or edit it. Once the spots are taken, anyone else who books joins the waitlist instead. If someone cancels, the first person waiting is booked automatically and told by email. Leave the capacity empty for no limit.
How do clients book themselves in?
Open Booking page, switch it on, and share the link. Anyone with the link can see your upcoming sessions, but only clients on your roster can book. You can set how late a client may cancel, and reset the link at any time if it ends up somewhere you did not intend.
Do my clients need an account?
No. A client enters the email address you have on file and receives a link to their bookings. There is no password and no signup, and the link stops working if you change their email address or archive them.
Can I reuse a session plan?
Yes. Open Templates and write the plan once, with the exercises, sets, reps, and rest. You can then attach a template to any session so you know what you are running.
What is the shared library?
Templates other coaches chose to publish. Browse the Shared library, copy anything useful into your own templates, and edit your copy freely; the original is untouched. Publishing one of yours shares the plan and your studio name, never anything about your clients.
Where do I record progress?
Open a member profile to add measurements and coaching notes. Measurements work well for values such as weight, body-fat percentage, or any custom metric you use.
Can I work in pounds and inches?
Open Settings and choose metric or imperial. It applies to everyone on the account, so client records read the same for all of you. Measurements are stored the same way whichever you pick, so switching never alters what has already been recorded. The same page is where you set what each thing you measure is, so recording one only asks for a name and a number.
How are payments tracked?
Use Payments to record an amount, payment date, and member. Historical payments remain attached to the account even if a member is later archived.
What happens when a member leaves?
Archive the member instead of deleting them. Archiving removes them from the active roster while preserving their history; you can restore them later.
How do I invite another coach?
Open the account menu, choose Manage accounts, open your studio, and invite the coach from the Members section. Account roles control what teammates can manage.
